A fast-growing technology company had scaled well beyond the accounting environment it started with. QuickBooks had been implemented in the company’s early days and, while sufficient at the time, it was never designed to support the complexity of a growing hardware-and-software business.
As the company expanded, critical gaps emerged. The existing system did not support:
- Inventory costing
- Real-time transactions to cost of goods sold from sales
- Capitalization of hardware
- Depreciation schedules
- Purchase order reconciliations
- Receipt of goods
- Ambiguity in inventory tracking
- Difficulty in deferred revenue visibility and forecasting
- Contract and recurring revenue tracking
Just as importantly, the platform was not structured to support the company’s next phase of growth. Leadership needed an accounting and operations backbone that could scale with the business, provide accurate financial reporting, and connect finance with sales, inventory, and manufacturing.
Solution
FSI led the end-to-end implementation of a cloud-native Odoo ERP and accounting platform, replacing QuickBooks with a system purpose-built to support the company’s operational and financial complexity.
Working across finance, operations, and technology, FSI designed and configured the full environment, including:
- Item master — a standardized foundation for products, components, and SKUs
- Chart of accounts — restructured to support accurate, scalable financial reporting
- Inventory subledgers — enabling proper inventory costing and valuation
- Order-to-cash process flows — connecting sales orders through fulfillment, invoicing, and revenue
- Productization — defining products and configurations for consistent transactions
- Manufacturing routes — modeling production and assembly workflows
- Reports & dashboards — delivering real-time financial and operational visibility
- CRM integrations — aligning customer and sales data with finance and operations
With the new architecture, sales transactions flow in real time to cost of goods sold, hardware is properly capitalized, and depreciation schedules are automated—giving leadership accurate, timely financial information.
Impact
FSI delivered the entire implementation end-to-end in approximately two months, transitioning the company from a limited QuickBooks setup to a modern, cloud-native ERP platform capable of supporting its next phase of growth.
With the new system in place, the company gained real-time visibility into costs and margins, accurate inventory and asset accounting, and an integrated view across finance, sales, inventory, and manufacturing.
